As with any fast growing business their team was spread thin, and the founder, CFO and management team were struggling to get across the growing number of data sources and report contributors to deliver effective insights to the wider team and investors.

To reduce the leadership time spent aggregating and disseminating reports. As well as to bring clarity and alignment of the disparate software and tools being used to do this and standardise the reporting look and feel across the organisation.

Challenges

1. Complex Data Systems:
  • VidiVet's business model generates multiple revenue streams via individual subscribers, veterinary practices and insurance partners all having different pricing, terms, models and margins
  • Business Intelligence is being driven by complex logic that is only understood and able to be updated by one person within the business
  • Big data sets being aggregated from disparate sources, feeling amongst the team that current reporting contained too much detail and huge deposits of raw information
2. Bloated Tech Stack:
  • The team were pulling data from 34 different sources manually to compile into regular reporting
  • Software subscriptions had been purchased to simplify tasks that weren't being fully utilised
  • It was calculated that 6 working days per month of leadership time was being spent compiling reports
3. Bespoke Access Requirements and Visibility for Different Stakeholders:
  • Segmenting and to and disseminating data to easily digestible insights was proving difficult
  • Multiple variants of reporting required, that was being manually adjusted to add / remove data and adhere to data sensitivity issues

Significant results

After partnering with VidiVet, we streamlined their data systems, optimising and automating the aggregation process, and reducing reliance on any single individual. We consolidated their tech stack, eliminating redundant tools and focusing on fully utilising Fathom as their core data reporting, analysis and forecasting tool.  The newly introduced, more efficient reporting systems saved significant leadership time. Additionally, we developed tailored dashboards and automated reporting solutions that catered to the bespoke access requirements of their various stakeholders, ensuring that data was both accessible and secure. This transformation not only improved operational efficiency but also empowered VidiVet's team with clear, actionable insights, driving better decision-making and fostering growth.

In addition to this we were able to further support Vidivet's CFO with bookkeeping services through Xero that extended right through to monthly accounts closedown.
